14 years operating a premium country club on FSG-built systems — memberships, hotel-club, and realtime reservations from one continuous partnership
A partnership, not a project: one client running 3 integrated systems, 24/7/365, since January 1, 2012.
GM, Director of Administration or CFO of a private country club, premium resort or hospitality complex with an associated club that combines memberships, lodging, physical access, golf, medical services and reservations. If you operate 24/7/365 with 5,000+ members and their dependents, and you evaluated a commercial PMS and rejected it because it couldn't handle your specific rules — this case describes your operation.
The client
- Industry
- Premium private Mexican country club / hotel-club with memberships and integrated recreational services
- Client
- Premium private Mexican country club
- Model
- A single client with 3 integrated FSG systems covering the full operation
- Relationship
- FSG's oldest client: 14 continuous years (since January 1, 2012)
- Operation
- 24/7/365
A 24/7/365 operation spanning members, dependents, guests, hotel, golf, medical services and access control — with no unified data.
- Multiple poorly-built legacy systems with severe operational and data integrity failures across hotel, club, golf, medical and access — operations sustaining 24/7/365 traffic without unified data
- No traceability of charges across the member journey (dues + stays + golf + medical + invited guests)
- Access control without unified validation chain (membership status, sanctions, balances, medical exam, golf rights, guest authorization)
- Manual coordination of housekeeping for 400 weekend-occupied rooms across multiple buildings
- Audit and dispute resolution without complete records — high friction with 11,000+ members
- Strong cultural resistance from operations teams with many years using the legacy system — modernizing reservations was the most challenging change FSG has ever managed
- A commercial PMS was evaluated and rejected the same day for incompatibility with member-dependent-guest rules
Three integrated FSG systems covering the club's full operation, built and evolved over 14 years. A partnership, not a project: no off-the-shelf product understands the specific rules the club has with its members, dependents and guests under 14-level validation chains.
Membership system (2012 → today · 14 years)
18 modules for the full member lifecycle: membership procedures with QR and barcode credentials, cashier and collections with payment links and reconciliation, additional services, facility reservations, golf, access control integrated with turnstiles and readers, medical, kids' club, lockers, electronic invoicing, a dynamic report builder for non-technical users, and multi-site support.
Hotel-club system (2015 → today · 11 years)
16 modules for 400 rooms full every weekend: guided check-in/check-out, access control with a 14-level validation chain, housekeeping with a color-coded graphical panel of 12 room states, golf with a specialized POS, medical services, liability control, 60+ prebuilt reports and 190+ audit codes. Multi-hotel with unified management.
Realtime reservations platform (modernized in 2026 from the 2013 version)
9 modules on Laravel 11 + Vue 3 + WebSockets: multi-step booking wizard with a rate + room + package + extras engine, multi-method payments and treasury, members and guests with a portal and credentials, CFDI invoicing, hierarchical approvals with immutable history, and Email/SMS/WhatsApp/Push notifications. Modernized with no operational downtime.
Custom integrations
Turnstiles, readers and credentials with integrations designed specifically for the club's workflows — not generic hardware drivers.

Results
Reservations accumulated on the realtime reservations platform.
Operation with WebSockets in production: realtime availability for the entire front desk and reservations team.
How long it took the client to reject a commercial PMS proposal: no off-the-shelf product understood its rules.
“We've been running the club's entire operation for fourteen years — memberships for eleven thousand members, access control, hotel, golf, reservations — on the same platform, evolved by FSG. When a commercial PMS quoted us to modernize reservations, we rejected the proposal the same day: no off-the-shelf product understands the specific rules we have for members, dependents and guests.”
Timeline & phases
2012 (January 1): membership system goes live for 5,000+ initial members. 2013: first reservations system. 2015: hotel-club system goes live with 400 rooms, golf, medical and 14-level access control. 2018-2024: continuous evolution — memberships grows to 18 modules, hotel-club to 16 modules with 60+ reports and 190+ audit codes; multiple additional modules contracted; a commercial PMS evaluated and rejected by the client. 2026: reservations platform modernized to Laravel 11 + Vue 3 + WebSockets, preserving 130,000+ historical reservations.
Lessons learned
- FSG's most challenging case because of operational resistance to change: a team with many years on the legacy system pushed back hard on modernizing reservations. We learned to invest more time in discovery with primary operational stakeholders, not only with decision-makers who delegate. Resistance to change is a symptom, not an enemy, and it's solved with presence, not authority.
- The common internal blocker wasn't leadership — it was mid-level operations managers who, given the opacity of the previous system, preferred to work without control tools. Process structuring plus a detailed audit log dissolved that pattern without confronting anyone.
- The client rejected a commercial PMS in one day: the depth of a premium country club's rules (memberships + dependents + guests + golf + access + medical in a 14-step validation chain) doesn't fit in an off-the-shelf product. That defines when custom is worth it versus SaaS — not always, but when it applies, there's no real alternative.
- A continuous partnership builds deep operational memory: modernizing reservations from 2013 to 2026 was possible because we retain knowledge of the client. A new vendor would have had to redo discovery from scratch — that's lock-in by value, not by contract.
- We don't just sell software — we structure workflows, processes, documentation and working mechanisms. Fourteen years with the same client prove it: software is 50% of the value; the other 50% is redesigning how the business runs.
